What this document is

A quotation is an offer: this is what the work would cost, and this is how long that price stands. It is not a demand for payment and does not create a debt.

The validity date is the part people leave off and then regret. Prices move; a quotation without an expiry is a price you have agreed to hold forever.

When to use it

  • When a customer asks what something will cost before committing.
  • When you are competing for work and the price has to be written down.
  • Before starting work you intend to invoice, so the amount is not a surprise later.

What it has to carry

  • Your registered business name, address, TIN and RC number.
  • A quotation number and the date it was issued.
  • A "valid until" date.
  • Itemised pricing, so the customer can see what they are paying for rather than one lump.
  • VAT at 7.5%, added on top of the discounted subtotal. Nigerian VAT is exclusive; it is never carved out of a price you have already quoted.
  • What is excluded — delivery, installation, materials — because that is where disputes start.
