What goes in each field
A Nigerian invoice is a commercial document and, once tax is involved, a record someone else has to account for. These are the fields that decide whether it gets paid without an argument.
- Business name and address
- Use the name your business is registered under with the CAC, not a trading nickname. If the name on the invoice does not match the name on the bank account, expect the payment to be queried.
- RC number
- The registration number the CAC issued you. A limited company shows RC followed by digits; a registered business name shows BN. It tells your customer they are dealing with a registered entity.
- TIN
- Your tax identification number. Corporate customers and government bodies generally will not process an invoice without one, because they need it to account for what they deduct and remit.
- Invoice number
- Must be unique and should not skip about. The generator starts you at INV-YYYYMMDD-001; change the last part per invoice. A sequence you can explain is worth more than a clever one.
- Issue date and due date
- The issue date is when you raise it. The due date is the promise you are asking your customer to keep — "on receipt" is not a date, and it is the reason so many invoices sit unpaid.
- Line items
- Description, quantity, unit price. Be specific enough that someone in the customer’s accounts department who has never met you can match the line to something that happened.
- VAT at 7.5%
- Nigerian VAT is exclusive: it is added on top of the discounted subtotal, never carved out of it. Only charge it if your business is registered for VAT — you are collecting it on behalf of the tax authority and will have to remit it.
- Withholding tax
- WHT is deducted by your customer from what they pay you; it is never added to the invoice. Leave the note switched on so your customer knows to issue you the credit note.
- Payment details
- Bank, account name, account number. An invoice without them is a request for a phone call.
